Sanexen is seeking an Information Management and Microsoft 365 Coordinator for its Brossard office.

Job Description

To support the evolution of our digital practices and strengthen our document management and collaboration initiatives, we are looking for an Information Management and Microsoft 365 Coordinator for a four (4)-month temporary assignment, with the possibility of extension.

Reporting to the Communications team, the successful candidate will play a key role in optimizing document management practices and the Microsoft 365 environment. Working closely with the Information Technology team and various departments across the organization, you will help improve content organization, promote the adoption of best practices, and support information governance initiatives.

This assignment offers the opportunity to contribute directly to Sanexen's digital transformation by participating in strategic projects that have a tangible impact on organizational efficiency, collaboration, and information management.

Document Management and Information Organization

  • Analyze current document management practices and recommend improvements;
  • Participate in organizing and structuring document repositories in SharePoint Online;
  • Develop and maintain filing structures, metadata, and taxonomies tailored to business needs;
  • Coordinate or support document migration, classification, and archiving activities;
  • Develop and update document management guides, procedures, and reference tools.

Microsoft 365 and Process Improvement

  • Administer and optimize SharePoint sites;
  • Support the optimization of Microsoft Teams and document libraries;
  • Design or enhance automated workflows using Power Automate;
  • Document implemented solutions and support user adoption.

Information Governance

  • Participate in identifying and classifying sensitive information and data;
  • Contribute to improving practices that promote information quality, security, and compliance;
  • Develop awareness and training materials for employees;
  • Collaborate in developing and updating policies, procedures, and guidelines related to information governance.

Sought Profile

  • College diploma or university degree in Information Management, Archival Studies, Library and Information Science, Information Science, Business Administration, or a related field;
  • Relevant experience in document management, Microsoft 365 administration, or a similar role;
  • An equivalent combination of education and experience will also be considered;
  • Strong knowledge of the Microsoft 365 suite;
  • Experience with SharePoint Online, Microsoft Teams, OneDrive, and Outlook;
  • Good understanding of document management and information governance principles;
  • Excellent organizational skills and strong attention to detail;
  • Strong analytical and problem-solving abilities;
  • Self-motivated, proactive, and able to work independently;
  • Excellent communication and collaboration skills;
  • Customer-focused with a strong commitment to supporting end users;
  • Ability to manage multiple priorities while meeting deadlines;
  • High level of professionalism and discretion when handling confidential information.

Assets

  • Knowledge of Power Automate is considered an asset.
