Sanexen is seeking a Bid Coordinator for its Brossard offices.
Job Description
The person in this role plays a central part in supporting the organization’s bidding activities and business growth initiatives. They are responsible for coordinating the entire bid submission process, ensuring the compliance and accuracy of all submitted documents. They will also oversee the management of bid bonds in accordance with the requirements and specifications outlined in the contractual documents.
Depending on organizational needs, the individual may also be called upon to coordinate certain subcontracting agreements and support the project management team in the execution of mandates, thereby contributing to the smooth operation and successful delivery of projects.
Main responsibilities
- Identify potential tender opportunities in the market by conducting daily searches on various platforms (SEAO, MERX, etc.).
- Analyze selected tenders, compile requirements, and communicate them to the team to ensure compliant, high-quality submissions delivered within deadlines and contractual requirements.
- Draft general sections, gather required corporate documents, and perform the assembly and final review of submissions.
- Coordinate the production and follow-up of content provided by various contributors (directors, project managers, partners, etc.) and ensure compliance with tender requirements.
- Manage the submission process (online, by email, or by courier).
- Prepare and manage requests for bid bonds and insurance certificates in both tendering and contract execution contexts, in accordance with contractual requirements.
- Maintain up-to-date tender and bonding registers (eventually within D365).
- Coordinate and prepare subcontract agreements, including document management.
- Monitor the status of remaining warranties on active contracts and maintain updated records.
- Support the estimating team in submitting proposals to general contractors.
- Assist the project management team with collecting subcontractor releases and administrative documentation.
- Participate in the implementation of administrative and tracking processes to ensure optimal project and tender management.
- Manage and update the corporate and technical document library (presentation templates, technical documentation, project lists, equipment, pricing, certifications, etc.).
- Administer and maintain various accounts and subscriptions related to tendering activities (SEAO, MERX, etc.).
Qualifications required
Sought Profile
- Proficient in the use of the MS Office suite (Word, Excel, Outlook, PowerPoint) and Adobe Pro.
- Excellent command of French.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Detail-oriented, with strong accuracy and document compliance verification skills.
- Ability to work independently and collaboratively while meeting deadlines.
- Ability to work under pressure, manage stress and priorities effectively, and meet tight deadlines.
- Knowledge of administrative procedures related to tendering processes and contractual practices.
- Occasional availability outside regular working hours.
Assets
