Sanexen is seeking a Project Coordinator for its Brossard offices.
Job Description
As an Environmental Project Coordinator, you will play a key role in supporting Project Managers and coordinating various activities related to project sites. You will ensure rigorous follow-up of data, documents, schedules, and information from project sites, subcontractors, and internal teams, contributing to the successful delivery of projects.
Under the supervision of the Project Manager, you will act as a key liaison within the project team, ensuring structured coordination of information and activities. You will support the follow-up of operational requirements, the preparation and updating of project documentation, as well as compliance with established schedules and requirements.
Main responsibilities
- Site Data Collection and Follow-Up — Collect, organize, and record all data from project sites (laboratory analysis requests, weigh tickets, transportation manifests, surveying data, hours worked, etc.) in various formats (Excel spreadsheets, daily reports, internal systems, etc.).
- Site Data Management and Reporting — Compile, structure, and consolidate project data so that Project Managers can efficiently access, analyze, and use the information.
- Cost and Invoicing Follow-Up — Validate project costs based on the data collected, participate in cost tracking, and contribute to the invoicing process by ensuring that billed quantities are consistent with project data.
- Contribution to Project Deliverables — Contribute to the preparation of certain project deliverables (always reviewed and approved by the Project Manager), including the compilation of analytical results, progress reports, and other technical or administrative documents.
- Meeting Organization and Coordination — Organize and prepare meetings (invitations, agendas, meeting minutes) with the project team and/or clients, and follow up on action items and information resulting from these meetings.
- Performance Indicator Tracking and Reporting — Compile performance indicators and mitigation measures identified through risk assessments (both during the pre-project phase and throughout project execution), compare them against established objectives, and present them in a structured manner to support the Project Manager in monitoring and decision-making.
- Internal Systems Updates — Maintain project management systems and tracking databases up to date.
- Technical and Administrative Document Management — Compile, organize, and file all technical and administrative documents related to projects, ensuring their completeness, proper filing, and accessibility to project team members.
Qualifications required
Sought Profile
- Education in Administration, Project Management, Accounting, or a related field;
- Relevant experience in project administrative support, ideally in the environmental, construction, or technical industries;
- Strong proficiency with project management tools and Microsoft Office (Excel, Word, Outlook);
- Excellent ability to use Excel for data management, analysis, and tracking;
- Strong attention to detail, organizational skills, and a high level of accuracy;
- Strong interest and comfort in using artificial intelligence (AI) tools to optimize data management and administrative efficiency;
- Ability to manage multiple files and priorities simultaneously while meeting tight deadlines;
- Strong communication and teamwork skills.
Assets
- Knowledge of the environmental sector or construction sites;
- Experience with project management systems or ERP systems;
- Familiarity with budget tracking and contract management;
- Ability to read and interpret technical documents.
Proficiency in French and English:
